The biggest difference is the change in pricing policy. The KeyFlow Pro 1.x provides both server and client services in one app for $299.99 USD by default. It is not affordable for single users. The newly upgraded KeyFlow Pro 2 runs in standalone mode for single users by default, and the price is greatly reduced to $49.99 USD. If necessary, you can purchase Server Expansion Pack through In-App Purchase, and configure a Mac as a server.

Then, clients can access to the shared library and upload, search, preview and annotate the media over a local network. Note: Please don’t forget to Back Up your existing libraries in advance. Please follow the steps below before opening the libraries in version 2: 1. Quit KeyFlow Pro 1.x and Update it to version 1.8.5 from the Mac App Store.

Launch KeyFlow Pro 1.8.5, open the library you want to open in version 2. Go to File Sync Database to update the database of the library to the latest one. Quit KeyFlow Pro 1.8.5. Launch KeyFlow Pro 2 and Open the library. Note: Please don't open the same library in KeyFlow Pro 1.x and KeyFlow Pro 2 at the same time in order to prevent database corruption. Before importing media files into KeyFlow Pro, you can select the import option to either “Copy to library” or “Leave files in place” in the General tab in Preferences.

Copy to library: This option is for importing media from a different disk/volume or keeping a copy of all media files that have already been imported into KeyFlow Pro within the library location. With this option, the media assets will be always online.

Leave files in place: This option is for linking to files in their current location, without copying them into the same library. In this case, KeyFlow Pro creates reference files that simply point to the source files, so the media assets can be managed as-is while maintaining its current storage location.

Store To: This option is a part of the “Leave files in place” option, and it is for setting source media locations for reference files. With this option, the media files will be copied to any location on a connected volume, and then indexed as external media.

The existing Projects are used for manually importing media into the library for reuse from previously archived projects. You can filter the media and selectively import it into the library, as well as automatically apply the workflow to the project during import. Before importing, you can choose between “Copy to library” or “Leave files in place” (or Store-to). For reference media, you can Batch Relink the media to the changed location path when the files are moved to a different volume or folder. Note: Once imported, the imported files cannot detect changes in the original file.

If the linked original file is changed, you must import again. The new Live Folders are used for automatically importing current working folders that are being updated frequently as Live Folders. All of the media files in Live Folders are automatically imported and updated with any changes in the Finder level. For example, when you rename a sub-folder or add/delete a file, the changes are synced in the Live Folder instantly. The current folder structure remains unchanged, so you can manage all of your media files in Live Folder at the Finder level. You can apply workflow to selected assets in the Live Folder manually. The media assets in Live Folders can be dragged-and-dropped into an existing Project (or Group).

It will exist in both the Project (or Group) and the Live Folder; if the Live Folder is deleted from the list, the media assets will remain in the Project as a reference type. Note: With the exception of images, previously generated preview files and thumbnails will not be updated automatically if the original file has changed.

Additionally, the Batch Relink feature cannot be applied to Live Folders. The Scan Performance of Live Folders is affected by the infrastructure environment. The KeyFlow Pro library should be stored into the Server’s local hard disk for the optimal scanning performance of the Live Folders. As renaming or moving folders affects sub-files, it is recommended to avoid excessive changes in Live Folders. Live Folders will appear offline if a top-folder is renamed or if the location of the Live Folder has changed.

If a Live Folder is deleted then re-added to the list, the entered metadata will be lost. When the Live folder is being scanned, Auto Scan is in the standby status. After all of the Live Folders have been scanned, the Auto Scan is automatically performed after the Interval time (set in the Preferences) has elapsed.

If the manual scan is performed frequently, the Auto Scan is performed after all the manual scans have been completed. Therefore, as the interval begins counting after all scans are completed, the Auto Scan may still be in standby status if the interval is long and the manual scan is frequently performed. KeyFlow Pro supports Boolean (AND, OR) and phrase searches using quotation marks(“ ”). Title, Tags and File Extension are default search fields. You can add more metadata fields to the search in Preferences.

Here are some examples. AND search Search for media which includes both A and B. Do one of the following: A B A and B A AND B 2. OR search Search for media which includes either A or B.

Do one of the following: A B A or B A OR B 3. Phrase(“ ”) search Search for media which perfectly corresponds to words(phrases) between quotation marks(“ ”). “A is B” Note: KeyFlow Pro cannot perform both AND and OR searches at at the same time. For phrase searches, you must use a pair of quotation marks(' ').

NOT search isn't currently supported. First, you need to run Sync Database before copying a library to another Mac so that the latest database is maintained. Next, you have to QUIT KeyFlow Pro and then copy the library in the Finder.

In case of restoring the database required, please email our support team (keyflowpro@malgn.com) for specific instructions. Rule of thumb is to BACK UP your previous library in advance. You must be VERY CAREFUL when restoring databases because it is highly likely that the database can be mismatched between the Macs if you make a mistake. Note: Regardless of where the shared library is stored, the most up-to-date database is stored first in the local hard disk of a server Mac for the best performance. And then, it is backed up to inside the shared library every 6 hours.

So, please run Sync Database before making a backup copy of a shared library for security.
